TRAVEL & SETUP POLICY
At Amillion Treasures Experiences (“ATE”), we are committed to providing a seamless and stress free experience for our clients. To ensure successful event execution, the following Travel & Setup Policy applies to all services and experiences.
TRAVEL SERVICE AREA
All packages include up to fifteen (15) miles of travel from ATE’s designated service area.
Additional travel fees apply for events located beyond the included travel distance.
Current Travel Fees:
• 0 to 15 miles: Included
• 16 to 30 miles: $50
• 31 to 50 miles: $100
• 51 to 75 miles: $150
• Over 75 miles: Custom Quote Required
Travel fees are calculated based on the total travel required to complete event services, including setup and takedown visits.
PARKING FEES
The Client is responsible for any parking fees, valet fees, garage fees, venue access fees, tolls, or other transportation related charges incurred while providing services. Such charges may be added to the final invoice or billed separately.
SETUP SCHEDULING
ATE will determine the appropriate setup schedule based on the event type, package selected, venue requirements, and scope of work.
Setup times will be coordinated with the Client prior to the event date. Clients should not schedule activities, guests, vendors, or venue use that interferes with scheduled setup times.
VENUE ACCESS REQUIREMENTS
The Client is responsible for ensuring that the event location is accessible at the agreed upon setup time.
The Client must:
• Secure all required venue permissions
• Arrange access codes, keys, or entry instructions
• Ensure setup areas are available and free of obstructions
• Provide any required loading instructions
• Coordinate venue access with venue staff when applicable
ATE is not responsible for delays caused by venue restrictions, locked facilities, unavailable staff, elevator limitations, security procedures, parking restrictions, or denied access.
DELAYED ACCESS
If access to the event space is delayed, ATE will make reasonable efforts to complete the setup within the available timeframe.
However, delayed access may result in modifications to the setup, reduced décor installations, shortened styling time, or additional labor fees.
WAITING FEES
If ATE staff arrive at the agreed upon time and are unable to begin work due to venue access issues, Client delays, unavailable decision makers, or other circumstances outside of ATE’s control, a waiting fee may apply.
Waiting Fee:
$50 per hour, billed in one hour increments.
SETUP MODIFICATIONS
ATE reserves the right to modify design elements, décor placement, balloon installations, or styling plans when necessary due to:
• Venue restrictions
• Safety concerns
• Space limitations
• Weather conditions
• Structural limitations
• Time constraints caused by delayed access
Every reasonable effort will be made to maintain the overall design vision and event experience.
TAKEDOWN SERVICES
ATE will return at the scheduled time to retrieve rental items and complete takedown services. The Client agrees to ensure that rental items remain accessible for retrieval. Additional labor fees may apply if takedown is delayed due to inaccessible equipment, venue restrictions, guest interference, or unauthorized relocation of rental items.
OUTDOOR EVENTS
For outdoor events, the Client is responsible for providing a safe and suitable setup location. ATE reserves the right to delay, modify, relocate, or discontinue installations if weather conditions create safety concerns for guests, staff, equipment, or rental items.
STAIR AND ELEVATOR ACCESS
Additional labor fees may apply for events requiring extensive stair access, multiple trips, long walking distances from unloading areas, or complicated loading procedures. Such fees will be disclosed whenever possible prior to the event.
HOLIDAY AND PEAK DATE EVENTS
Events scheduled on major holidays, holiday weekends, or high demand dates may be subject to additional travel, labor, and service fees.
Any applicable fees will be disclosed during the booking process.
ACKNOWLEDGEMENT
By booking services with Amillion Treasures Experiences, the Client acknowledges that they have read, understood, and agreed to the terms of this Travel & Setup Policy.
